Terms of Service

Last updated: July 2026

This is a draft template provided for the working prototype. Have it reviewed by counsel before relying on it for a live product.

1. What Convicle does

Convicle connects to mailboxes you already control via SMTP/IMAP and provides (a) a webmail interface for your employees and (b) an archival copy of messages sent and received through those mailboxes, retained according to the policy your company configures.

2. Your responsibilities

You are responsible for having the legal right to access and archive the mailboxes you connect, for informing employees that company email is archived per your internal policy, and for keeping your account credentials secure.

3. Data retention & deletion

Archived messages are retained according to the retention policy configured in your Company Admin panel. Messages flagged for legal hold are retained regardless of the general policy until the hold is lifted by an authorized admin.

4. Service availability

We target the uptime and delivery-latency levels described for your plan tier, but mail delivery also depends on the third-party mail host (e.g., Hostinger, Google, Microsoft) you connect — Convicle is not responsible for outages on the upstream provider's side.

5. Billing

Plans are billed monthly or annually per the pricing page in effect at the time of your subscription. Usage beyond your plan's mailbox limit is billed at the applicable add-on rate.

6. Termination

You may cancel at any time from the Company Admin panel. On cancellation, we retain archived data for a defined export window before permanent deletion, per your Data Processing Agreement.

7. Changes to these terms

We'll notify account admins by email before material changes to these terms take effect.
